Introduction

This Privacy Policy explains how Sustainable Square ("we", "us", "our") handles information in connection with squarely.tech, the public website for our Squarely ESG platform.

Squarely is the ESG data and reporting platform operated by Sustainable Square. Squarely does not have a separate legal entity; Sustainable Square is the legal entity responsible for the platform, and references to "Squarely" in this policy mean the platform and services provided by Sustainable Square.

This policy also covers our official social media pages; together with the website, these are our "Digital Properties." If your organisation engages Squarely under a separate written agreement, that agreement governs the handling of platform data and, in the event of a conflict, prevails over this Privacy Policy.

Squarely involves two different environments, and this policy covers both:

  • The website (squarely.tech): our public site, used by anyone browsing or getting in touch.
  • The platform (app.squarely.tech): the Squarely application, used by our customers. Data handling here is governed by the agreement between Sustainable Square and the customer organisation (see Platform Data, Security & Residency below).

If You Use the Website (squarely.tech)

Information We Collect

'Personal data' means any information relating to an identified or identifiable natural person, such as name, email address, phone number, and other contact details. When you use the website we collect:

  • Contact details you submit through forms, demo requests, content downloads, job applications, or email (name, business email, company, job title, phone number, and any message you include).
  • Newsletter data if you subscribe (email address).
  • Technical and usage data collected automatically when you visit, such as IP address, browser type, and pages viewed, through server logs, our CDN, and analytics tools. See Cookies.

Do Not Track: we do not respond to 'Do Not Track' browser signals at this time.

How We Use It

  • Respond to enquiries and demo requests.
  • Send material you requested (e.g. newsletter); you can unsubscribe anytime.
  • Understand and improve how the website performs.
  • Send administrative information, such as confirmations, security notices, and service updates.
  • Support security, fraud prevention, and legal compliance.

We do not sell your data or use it for third-party advertising.

Sharing

We share visitor data only with service providers that help us run the site and communications (hosting, CDN, email/analytics tools), as needed to deliver the service, and where required by law.

We may also share personal data with affiliated entities within the Sustainable Square group, including our operations in the United Arab Emirates and the Kingdom of Saudi Arabia, for legitimate business purposes such as internal administration and operations.

In the event of a merger, acquisition, reorganisation, financing, or sale of all or part of our business or assets, personal data may be transferred as part of that transaction, subject to applicable law.

We may disclose personal data where required by law or valid legal process, or where we believe in good faith it is necessary to protect the rights, property, or safety of Squarely, our users, customers, or others, or to investigate or prevent suspected wrongdoing.

If You Use the Platform (app.squarely.tech)

For users of the Squarely application, data is handled to deliver the ESG reporting service to the customer organisation. In summary:

  • We collect account data (name, email) and the ESG data submitted by the customer.
  • Data is processed only to provide the Service, not for advertising or resale.
  • Access is role-based and restricted to authorised personnel.

This is a summary only. The binding terms covering platform data, including data retention, security controls, encryption, and data residency, are set out in the agreement between Sustainable Square and the customer organisation, and in the platform documentation made available to customers.

For personal data processed through the platform, Sustainable Square acts as a data processor on behalf of the customer, who is the data controller. Sustainable Square acts as a data controller only for personal data collected through its own Digital Properties, such as website visitors and marketing contacts.

We use, process, and disclose platform data solely as instructed by the applicable customer and for the purpose of providing the Service, and not for unrelated purposes. We may use aggregated or de-identified information derived from the platform to maintain, improve, and provide our service offerings, where permitted by law and contract.

If your personal data is processed through a customer's use of the platform, please direct your request to that customer. If you contact us directly, please include the name of the customer organisation and we will refer your request to them and support them as needed, subject to applicable law and our contractual obligations.

Platform Data, Security & Residency

Detailed information on how the Squarely platform protects and stores data is available in two places:

  • Security & platform capabilities: described in the product/features section of this website.
  • Contractual terms: data retention periods, data residency (including regional hosting options), sub-processors, and security commitments are defined in the customer agreement and accompanying data processing terms.

Customers and prospective customers can request these documents through their Sustainable Square contact.

Security of Your Information

We take reasonable administrative, technical, and organisational measures designed to protect personal data from loss, misuse, unauthorised access, disclosure, alteration, and destruction. However, no method of transmission over the Internet or electronic storage is completely secure, and while we strive to protect personal data we cannot guarantee absolute security.

Your Rights

Depending on your location, you may have rights to access, correct, or delete your data, and to withdraw consent. Platform users should note that data submitted on behalf of a customer organisation is controlled by that organisation; requests may be directed through them. To exercise your rights, contact us below.

Subject to applicable law, these rights may include the right to:

  • learn whether your personal data is processed;
  • access your personal data;
  • correct inaccurate or incomplete data;
  • request deletion of your personal data;
  • object to or restrict certain processing;
  • request information about transfers to third parties (local or foreign);
  • withdraw consent where processing is based on consent;
  • request compensation where permitted by law in the case of unlawful processing.

We handle personal data in accordance with applicable data protection laws, including the UAE Personal Data Protection Law (Federal Decree-Law No. 45 of 2021). Where we serve individuals in other jurisdictions, we take steps to comply with the data protection laws applicable to them.

You may also opt out of marketing communications at any time by clicking "unsubscribe" in our emails.

International Users

We are based in the United Arab Emirates. Data may be processed in the UAE and by our service providers in other regions. Platform data residency is addressed in the customer agreement.

Links to Other Sites

Our Digital Properties may contain links to websites or services not owned or controlled by us. We are not responsible for the privacy practices of those third parties and encourage you to review their privacy policies. This Privacy Policy applies only to information collected through our Digital Properties.

We may update this policy. The 'last updated' date above shows the latest version.
